1. Do you know every password?
Practically everything computer and Internet-related in your business has, or should have, a password. If your computer person left at this very moment, could you (or someone you trust) log on to each of the computers on the network and have the ability to make changes to system settings, adjust the firewall/router and more?


2. Do you know where all the backups are stored? You’ve got lots of business things to worry about. There’s nothing more dull than backing up data. You probably let the computer tech worry about backups. Is there a written plan and diagram?


3. Do you know where the software product keys are stored?
Software product keys are alphanumeric codes that have to be entered when you install software. Otherwise, the installation won’t work. Of course, your software is already installed, right? So why do you need keys? In case the system crashes, and it will, sooner or later. These company assets need to be stored for safekeeping.


4. Where are software disks stored?
So you’ve got everything installed on the computer. You place the installation CDs into a drawer and forget them. What’s going to happen if you need to reinstall your programs?


5. Who do you call for repairs?
Even computer gurus have to call for help from time to time. When tough problems arise, the tech or engineer may call somebody local. This is similar to finding and keeping a good mechanic. Always have a backup tech or hire a company that has more than one “computer person”. It takes 16 different skill sets to effectively run an IT department.


6. Do you understand your computer network, systems and how everything works?
Or at least have documentation? Are you running your network with a server, or even multiple servers? In the cloud? Have a disperse heterogeneous system? These are complicated arrangements. Your system administrator may have a basic understanding and the telephone number of a good network/computer technician but do you have a diagram? A description of each system?
